Chappaqua Drops Paper School Calendars; District Explains Why

(Editor's note: Below is a copy of a message that the Chappaqua school district sent out about discontinuing paper calendars)

In May it was announced that the District would not be mailing a printed calendar to families this summer.

In its place, the District has made use of the online calendars that can be found under the "Upcoming Events" tab on the District homepage, and on the right-hand side of each school's homepage.

While many looked forward to receiving a printed calendar each August, this decision to use an electronic format was made in part to go green and to save money. It also was made in order to provide the most up-to-date information during the course of the school year. With new procedures in place to streamline the management and continual updating of each school's online calendar, a calendar printed in August would become a less reliable resource as events are added, rescheduled, or cancelled numerous times during the school year.

The online District calendar now contains District-wide events as well as all entries from all schools. . .and each school's online calendar now includes all District-wide events.

To display the month-to-month calendar on the District homepage or a school's homepage, click "Full Calendar" at the bottom of the "Upcoming Events" list.


Customized Viewing
The online calendars offer a customization feature, allowing individuals to select the specific schools and the specific event categories that pertain to them.

For the District calendar - You can customize the online view of the month-to-month calendar to display both district-wide and/or specific school events. To do this, click on the "Customize Calendar" link at the top while in the month-to-month viewing mode. Then check the boxes to specify the locations (school) and to specify the categories (calendar entries) that you want to display. Then click the "Update Calendar" button.

For an individual school's calendar - You can customize the online view of a school's month-to-month calendar to specify the different types of calendar entries you would like to have displayed. To do this, click on the "Customize Calendar" link at the top while in a school calendar's month-to-month viewing mode. Then check the boxes to specify the categories (calendar entries) that you want to display. Then click the "Update Calendar" button.


Synchronize to your personal electronic calendar
The District calendar and/or school calendar(s) may also be synced to a calendar on your smart phone or personal computer (for example, Google calendar, Microsoft Outlook, Mac OS iCal, Yahoo calendar, and iOS.)

To do this, click on the "iCal Subscribe" link at the top of the District or school calendar while in its month-to-month viewing mode. Specific instructions for the different types of personal calendars will display after you click the "iCal Subscribe" link.

NOTE: Since all District-wide events now appear on each school's online calendar, you really only need to subscribe to the school calendar(s). Please know that some entries, such as holidays and school closings, that appear on both the District calendar and each school's calendar, may appear multiple times on your device/personal calendar and unfortunately there is no way to avoid this duplication at this time.


Printing
To print a month from the online District calendar or an online school calendar, click "Print Format" at the top of any calendar page while in the month-to-month viewing mode. (see: Tip for getting an entire month to fit on only one page.)

To print calendar months with entries for more than one school, use the District Calendar while in month-to-month viewing mode and click on the "Customize Calendar" link at the top. Then check the boxes to specify the school(s) and to specify the categories (calendar entries) that you want to display/print and click the "Update Calendar" button. Now click "Print Format" from the customized calendar display you've just created.

Tip for getting an entire month to fit on only one page: Close the "Print" window that opens after clicking "Print Format." Now, in the web browser, click "File" and then click "Print Preview" to make adjustments. The resulting readability of a given month that is scaled down to fit on a single page will vary based on how much information is displayed for that month.

Another option is to use the "List Format" link at the top of any calendar while in the month-to-month viewing mode to print the items as a list.


For this first year, a limited number of printed calendars - containing information that is current as of August 6, 2013 - are available at the main office of each school, the Education Center, the Chappaqua Library, and the Town of New Castle Office.
